Guest Booking Policies for Hotel Stay in Kinshasa, DR Congo

1. Reservations

  • All reservations are subject to room availability.
  • A reservation is considered confirmed once confirmation has been issued by Hotel WellVista.
  • Guests are responsible for providing accurate personal, contact and reservation information.
  • Special requests, including room preferences, early check-in, late check-out and additional bedding, are subject to availability and cannot be guaranteed.

2. Check-In & Check-Out

  • Standard Check-In: From 12:00 PM
  • Standard Check-Out: By 11:00 AM
  • A valid government-issued photo identification document must be presented at check-in.
  • The minimum age to independently check in to the hotel is 18 years.
  • Early check-in is subject to room availability.
  • Guests requesting check-in more than 2 hours before the hotel's standard check-in time will be subject to an early check-in charge, according to the hotel's applicable tariff.
  • Late check-out must be approved by Reception in advance and may be subject to an additional charge.
  • Guests remaining in the room beyond the approved check-out time may be charged an additional fee.

3. Payment

  • Room charges and any applicable taxes, deposits or additional charges will be communicated at the time of booking or check-in.
  • The hotel may require full or partial payment, or a security deposit, depending on the reservation type.
  • Once the guest has completed check-in, payments already made toward the confirmed stay are non-refundable.
  • All outstanding room, restaurant, bar, laundry or other hotel charges must be settled before departure.
  • Hotel WellVista accepts payment methods approved and communicated by the hotel.

4. Cancellation & No-Show

  • For standard flexible reservations, cancellations made at least 48 hours before the scheduled arrival date may be cancelled without a room cancellation charge.
  • Cancellations received within 48 hours of arrival may be charged up to the equivalent of one night's room rate.
  • In case of a no-show, the hotel reserves the right to charge up to the full amount of the reservation, depending on the booking conditions.
  • Non-refundable, promotional, group or special-rate reservations may have different cancellation conditions. The conditions communicated at the time of booking will apply.

5. Guest Registration & Room Occupancy

  • Only guests officially registered with Reception are permitted to stay overnight in hotel rooms.
  • The maximum number of guests permitted in each room must not exceed the occupancy limit established for the room category.
  • Any additional overnight guest must be registered at Reception and may be subject to an additional charge.
  • Guests may not transfer or share their room with an unregistered person without informing Reception.

6. Visitors

  • Visitors meeting hotel guests must register with Reception before accessing the guest-room floors.
  • For security reasons, Hotel WellVista reserves the right to request valid identification from visitors.
  • Visitors are not automatically permitted to stay overnight.
  • Any visitor staying overnight must be formally registered as an additional hotel guest and applicable charges may apply.
  • The hotel may restrict visitor access to guest-room areas during late hours where necessary for guest safety and security.
  • These restrictions do not apply to customers using the hotel's designated public restaurant and bar areas during their normal operating hours.
  • The registered guest will be responsible for the conduct and actions of any visitor, relative, friend or other person invited by them into the hotel or guest room.
  • Any damage to hotel property, disturbance, misconduct, illegal activity or violation of hotel policy caused by such visitors may result in applicable charges being billed to the registered guest and/or removal of the visitor from the hotel premises.
  • Hotel WellVista reserves the right to refuse or terminate visitor access where the visitor's conduct affects the safety, security, comfort or privacy of guests, staff or hotel property.

7. Children & Families

  • Children are welcome at Hotel WellVista when accompanied and supervised by a parent, legal guardian or responsible adult.
  • Guests under the age of 18 may not independently check in to the hotel.
  • Children up to 7 years of age may stay under the applicable child policy. Children above 7 years of age will be considered and charged as adults.
  • Parents or accompanying adults are responsible for the behaviour and safety of children under their supervision.
  • Baby cots, extra beds or additional bedding are subject to availability and may carry an additional charge.
  • All room occupancy limits must be respected, including children and additional guests.

8. Smoking Policy

  • Smoking is not permitted inside guest rooms or designated non-smoking indoor areas of the hotel.
  • Guests wishing to smoke should use designated smoking areas where provided.
  • Smoking inside a non-smoking room may result in an additional cleaning charge.

9. Alcohol

  • Alcoholic beverages will not be sold, served or provided to anyone under 18 years of age.
  • Hotel staff may request proof of age where necessary.
  • The hotel reserves the right to refuse further alcohol service to any person whose behaviour may endanger themselves, other guests, staff or hotel property.

10. Pets

  • Pets are not permitted inside Hotel WellVista unless specifically authorised by hotel management where required by applicable law.

11. Guest Conduct & Noise

  • Guests are expected to respect other guests, hotel employees and hotel property.
  • Excessive noise, threatening behaviour, harassment, fighting or any behaviour that disturbs other guests is not permitted.
  • Guests should keep noise to a minimum on accommodation floors, particularly during nighttime hours.
  • Illegal activities, prohibited substances, weapons or any activity contrary to applicable law are strictly prohibited on hotel premises.
  • Hotel WellVista reserves the right to refuse service or terminate the stay of any person involved in serious misconduct, subject to applicable law.

12. Damage, Loss & Additional Cleaning

  • Guests are responsible for damage caused to hotel property by themselves, members of their party or visitors invited by them.
  • Reasonable repair, replacement or additional cleaning costs resulting from damage beyond normal wear and tear may be charged to the responsible guest.
  • Missing hotel property may also be charged at its replacement value.
  • Any damage identified by a guest should be reported to Reception as soon as possible.

13. Room Key Cards

  • Room key cards are issued only to registered guests.
  • Guests should not give their room key card to another person.
  • Lost or damaged key cards should be reported immediately to Reception for security reasons.
  • A replacement charge may apply where applicable.

14. Housekeeping & Hotel Access to Rooms

  • Hotel WellVista provides housekeeping services according to the hotel's operating schedule.
  • As a standard hotel procedure, routine room cleaning will normally be carried out only when the registered guest is present in the room.
  • If the guest is not present, Housekeeping will not enter the room for routine cleaning unless the guest has specifically authorised Reception or Hotel Management to allow access.
  • Guests who do not require housekeeping service should inform Reception or use the appropriate privacy indication where available.
  • For safety, security or operational reasons, authorised Hotel WellVista personnel may enter a guest room without the guest being present when reasonably necessary, including in cases of:
  • Emergency or suspected emergency.
  • Fire, water leakage or other safety risks.
  • Urgent maintenance or technical problems.
  • Security concerns.
  • Suspected violation of hotel policy or applicable law.
  • Hotel employees will make reasonable efforts to respect guest privacy and security at all times.

15. Personal Belongings & Valuables

  • Guests are encouraged to keep valuables, important documents, cash and jewellery in the room safe where available.
  • Hotel liability for guest belongings will be determined in accordance with applicable law and the circumstances of the incident.

16. Parking

  • Hotel parking is available to guests subject to space and availability.
  • Vehicles must be parked only in designated areas and in accordance with hotel security instructions.
  • Guests should not leave valuable items visible inside vehicles.
  • Hotel WellVista and its Management will not be responsible for any loss, theft or damage to vehicles or belongings left inside vehicles, except where liability cannot legally be excluded.
  • Any accident, damage or security incident in the parking area should be reported immediately to hotel security or Reception.

17. Restaurant & Bar

  • The hotel restaurant and bar are open to hotel guests and other customers during their published operating hours.
  • Restaurant and bar customers who are not registered hotel guests do not automatically have access to accommodation floors or guest rooms.
  • Charges made to a hotel room may only be accepted after verification of the registered guest and room details.

18. Food Allergies & Dietary Requirements

Guests with any food allergy, dietary restriction, intolerance or special dietary requirement must inform Hotel WellVista staff in advance and before placing any food or beverage order.

Guests should clearly mention the specific ingredient or substance they are allergic or sensitive to so that our Restaurant and Kitchen team can take reasonable precautions.

Hotel WellVista will make reasonable efforts to accommodate such requirements; however, as food is prepared in a shared kitchen environment, the hotel cannot guarantee that any dish will be completely free from traces of allergens or cross-contact.

Guests with serious or life-threatening allergies are strongly advised to inform Reception and the Restaurant team before consuming any food or beverage at the hotel.

19. Safety & Security

  • Guests are requested to cooperate with hotel safety and security procedures.
  • Access to restricted, staff-only or technical areas is prohibited.
  • For the protection of guests, employees and hotel property, CCTV surveillance may operate in appropriate common and public areas of the property.
  • CCTV will not be installed in private guest-room or bathroom areas.

20. Lost & Found

  • Guests are responsible for checking their room and collecting all personal belongings before completing check-out and leaving the hotel.
  • Hotel WellVista and its Management will not be responsible for any personal belongings, valuables, documents, cash or other items left behind by a guest after check-out, except where responsibility cannot legally be excluded.
  • If an item is found after the guest's departure, Hotel WellVista may record and keep the item in accordance with the hotel's Lost & Found procedure for a reasonable period.
  • Guests who believe they have left an item behind should contact Reception as soon as possible and provide sufficient information to identify the item.
  • The hotel does not guarantee that an item reported as missing will be found or recovered.
  • Any courier, transportation, packaging or delivery cost for returning a found item will be the responsibility of the guest.
  • Unclaimed items may be disposed of after the hotel's applicable Lost & Found retention period.

21. Early Departure

  • Guests who choose to leave earlier than their confirmed departure date should inform Reception as soon as possible.
  • If a guest decides to shorten the confirmed stay after check-in, an early departure charge equivalent to one additional night's room rate will apply.
  • Any refund or early-departure charge will depend on the conditions of the reservation and the rate booked.

22. Force Majeure

  • Hotel WellVista will make reasonable efforts to provide all confirmed services.
  • However, the hotel shall not be responsible for failure or interruption of services caused by circumstances reasonably beyond its control, including natural disasters, government restrictions, civil disturbances, public-health emergencies, major utility interruptions or other force majeure events, subject to applicable law.

23. Compliance With Hotel Policy

  • By completing a reservation, checking in or staying at Hotel WellVista, the guest agrees to comply with these policies.
  • Hotel WellVista reserves the right to reasonably update its policies when required for operational, safety, regulatory or legal reasons.
